Ensemble Coordinator & Dean Assistant (full-time, hourly)

The Hochstein School is a vibrant organization in Rochester, NY, offering instruction in music, dance, and therapeutic arts. Hochstein annually serves more than 3,500 students from a 12-county region surrounding Rochester. The School is active throughout the community and provides tuition assistance to more than 50% of its students. The acclaimed Hochstein Performance Hall, located within the school's historic downtown building, hosts frequent concerts and events.

The Hochstein School seeks a skilled administrator to serve as Ensembles Coordinator and Assistant to the Vice President/Dean. This position works closely with the Vice President/Dean, the ensemble program directors, marketing, and the Associate Deans on a range of administrative and program operation assignments and tasks. The position reports directly to the Vice President/Dean.


Main Responsibilities

Ensemble Coordinator duties:

  • Support orchestra, wind symphony, and choral directors with scheduling of annual concerts and other ensemble events, personnel/student recruitment, sectional coordination.
  • Convene department-wide meetings and discussions with ensemble directors regarding program operations and curriculum.
  • Coordinate and schedule spring auditions for orchestras, and provide onsite coverage for orchestra conductors as needed on audition days.
  • Work with ensemble directors to send out acceptance notifications and other correspondence as needed.
  • Facilitate ensemble recruitment and registration process (working with Director of Marketing to update online forms, website, and with deans regarding registration) and act as the primary resource/contact with the public regarding large-ensemble activities at Hochstein.
  • Coordinate and attend all Large-Ensemble events/activities (and Chamber Music Connection as appropriate) and ensure coverage where needed, in collaboration with CMC Directors, Assistant Directors and Operations (front-of-house, performer coordination, set-up, etc.).
  • Coordinate and manage Hochstein special concerts and events in which ensemble students are involved, i.e. both on-site public performances (annual Holiday Prism concert) and off-site fundraising and community events (Barnes & Noble Bookfair). Collaborate with a range of staff on the execution of these events, e.g. operations, marketing, development, etc.
  • Manage the annual David Hochstein Recital Competition, including marketing, publicity, judge engagement, applicant communications, space scheduling, competition scheduling, as well as the subsequent performances associated with it.

Dean Assistant duties:

  • Manage special requests for studio space use in coordination with front office and Vice President/Dean
  • Assist Dean staff with registration processing (especially ensembles, chamber, and class activities)
  • Create concert/recital programs and assist faculty with programs as necessary
  • Support Vice President/Dean as needed for Merit and Honors Certificate Program auditions.

Ideal Qualifications

  • Passion for The Hochstein School's mission and values
  • Master of Music degree preferred, Bachelor's Degree required
  • At least 2 years' experience working in an administrative capacity, preferably in a non-profit setting
  • Relevant experience as an ensemble conductor, chamber coach, and/or performer
  • Related experience as a lesson/ensemble teacher and working with a variety of different student ages (previous teaching experience in a community music school setting desirable)
  • Skills and enthusiasm for working with children/youth and their parents
  • Ability to work in a fast-paced environment and handle multiple, varied duties effectively
  • Excellent attention to detail
  • Facile communication skills, both oral and written
  • Excellent word processing skills and experience (Microsoft Word, Excel, Google Workspace); fluency in various computer applications is highly desirable
  • Collaboration skills

Salary Range: $40,000 - $42,000 ($22-23/hour, 35 hours per week). This is a benefits-eligible position.

Work Schedule: Generally Monday through Friday, 9:00 am-5:00 pm, adjusted as needed to cover evening and weekend events. Schedule can be moderately flexible, to be arranged with Vice President/Dean.
